1.0 INTRODUCTION

ShipMan is designed for everyday use by ship operating and warehouse personnel who need software to assist them in the management of ship equipment, preventive maintenance, and stocking spare parts at the ship and warehouse levels. ShipMan is cross platform and will run on any version of Windows, Mac or Linux. We have attempted to keep the program simple, so that the operators need only basic computer skills such as they would use when browsing the Internet. Actual operator use of the computer software has been avoided whenever possible to make the program user friendly. There are some instances when the user will have to learn some new skills, but these are kept to a minimum.

2.0 THE ShipMan PROGRAM STRUCTURE

The structure of the program is quite simple. ShipMan consists of three basic building blocks: The Ship Equipment Files, the Company Information Files, and the Warehouse Files. Any number of ships can be added to the system, and they share a common warehouse facility, or multiple warehouse facilities if applicable. Likewise, all of the manufacturer and vendor information is shared by the ships and the warehouse. Under the Ship Equipment File, and directly related to it, are the Ship Technical Data File, the Ship Maintenance File, and the Ship Spare Parts File.

3.0 FILE CONTENTS

3.1 Ship Equipment File

This file contains all of the ship equipment configuration, specifically, anything that the operator wants to track for either spare parts or preventive maintenance. This can include major equipment such as engines, pumps, compressors, etc., to often overlooked items such as sea valves, tanks, and controllers. Configuration information includes model number, serial number, location, capacities, voltage and amperage, and other characteristics including manufacturer and vendor information, and technical information such as technical manual data and engineering drawing numbers for the specific equipment.


3.2 Ship Technical Data File

This file contains an index of all of the technical data for the ship, including contract documents, engineering drawings, equipment technical and parts manuals, ship operating manuals, and anything else pertinent to the operation of the ship.

3.3 Ship Maintenance File

This file contains the ship preventive maintenance schedule, which includes maintenance frequency, procedures, personnel responsibility, parts and fluids required, and special tools needed. Included are maintenance action requirements generated by date range and hourly usage. The Ship PM Log is Generated from this file.

3.4 Ship Spare Parts File

This file contains all of the spare parts normally required for the ship, whether or not they are carried on board. Included in the file are the spare parts numbers, onboard quantities and stowage locations, recommended quantities, reorder levels, purchase order data, and vendor information. Parts buy orders for the ship are generated in this file. Data on spare parts usage as well as replenishment for spares when received is generated from this file.

3.5 Company Information File

This file contains information about manufacturers and vendors including addresses, phone and fax numbers and E-mail addresses.

3.6 Warehouse File

This file contains information on parts in the warehouse including part numbers, on hand quantities and warehouse locations, recommended quantities, reorder levels, purchase order data, and vendor information. Parts buy orders for the warehouse are generated in this file.  Parts usage and replenishment reports are generated from this file.
